Core Concepts

Roles, permissions, and data access scopes — how GigRoot decides who can see and do what.

Roles

Everyone in a workspace has a role that determines their default permissions:

  • Agency owner — the top-level account. Full access to every module, billing, settings, and team management.
  • Manager — the owner's deputy: everything except the agency's own settings (company profile, billing, keys, modules and security policy).
  • HR — manages the people settings (leave policies and holidays, the people directory, attendance) and approves leave.
  • Staff — a team member who works on projects, tracks time, and sees the data assigned to them.
  • Consultant / external collaborator — brought in for specific projects or deals, often on commission, with access scoped to just their work.
  • Client — an outside stakeholder with a read-focused view of the projects they are part of.

Data access scopes

Beyond roles, GigRoot scopes which records each person sees. This keeps a large agency organized and private without extra configuration:

  • An agency owner sees everything across the workspace.
  • A manager sees their own work plus the work of the staff they manage.
  • A staff member sees the leads, deals, projects, and tasks assigned to them.
  • A consultant sees only the specific deals or projects they were added to.
Note
Because access is scoped by role automatically, a bug in one person's view may not appear in the owner's view. When something looks off, check the role of the person reporting it.

Permissions & module access

Owners and managers can fine-tune what each role can do per module in Settings and Security. You can grant or revoke access to whole modules (for example, hide Finance from most staff) and control actions like approving invoices or editing company settings.

Permissions are additive to roles: a role sets the baseline, and per-module settings refine it. See Security & permissions for the full model.

Workspaces

A workspace is your agency's shared environment — its contacts, projects, finance, and settings all live together. Team members you invite join your workspace and see data according to their role. An individual professional can also belong to multiple agencies' workspaces as a collaborator while keeping their own independent profile and skill badges.
