Documents

Write documents, sheets and HTML artifacts, generate them with AI from any record, export to PDF, and collect e-signatures.

Overview

The Documents module is your home for proposals, SOWs, contracts, reports and any business document. Write them in a rich editor, have AI draft them from the record they belong to, export clean PDFs, and collect legally binding signatures — all in-platform.

There are four kinds of document:

  • Document — rich text in the editor, with headings, lists, tables and images.
  • Sheet — a spreadsheet that saves as you type.
  • Artifact — a self-contained HTML page: slides, a one-pager, or any page.
  • Uploaded file — a PDF, Word file or anything else, viewed in place.

Creating documents

The Documents page has Generate, New document, New sheet, Artifact and Upload. Deals, projects and deliverables also have their own Documents panel, so a document is created already linked to its record:

  • Generate with AI — pick a type (proposal, statement of work, contract, status report, brief, letter, summary, artifact or custom) and a format (Document, Slides, One-pager or Page), add instructions if you like. The AI reads all of the record's details before it writes.
  • New — a blank document, sheet or HTML artifact.
  • Upload — attach an existing file.

Leads use their own Add proposal and Add Statement of Work dialog, which reads the whole lead — see Proposals & SOWs.

No templates — one set of instructions
Document templates have been retired. What shapes every AI-written document is the record itself plus your General Company Instructions in Settings → AI configuration, which apply to all AI tasks. Put your tone, standard terms and house style there once.

The editor, PDF & Word

  • Page break view — turn it on to see exactly where the PDF's pages will break while you write.
  • Download — as a PDF or a Word (.docx) file. PDFs break cleanly between list items, even nested ones, and never leave a heading stranded at the foot of a page.
  • Document style — Clean, Letterhead or Watermark only, on A4, Letter or Legal paper.
  • Paste from Markdown — pasted or uploaded Markdown keeps its bold, links, nested lists and tables.
  • AI editing — ask AI to edit the document in the chat panel beside it.
Branding
Your letterhead (logo and header), page margins and watermark are set in Settings → Documents → Letterhead Settings, separately from your agency logo.

Artifacts: slides, one-pagers and pages

An artifact is an HTML document of one of three kinds:

  • Slides — a 16:9 deck. Present shows it full screen: arrow keys, Page Up/Down or Space to move, Home and End to jump, Esc to leave.
  • One-pager — a single A4 page, such as a proposal summary or a leave-behind.
  • Page — any other HTML page.

The artifact editor has Code, Split and Preview views; you can paste HTML or import an .html file. Download gives a PDF — one page per slide, one A4 page, or A4 pages — or the HTML itself. Shared links show the artifact with a Download PDF button.

E-signatures

Finalize a document and choose Request Signature. Recipients get a secure link, sign online, and you receive the completed, signed copy back. Requests can be resent or cancelled. This keeps contracts and approvals inside GigRoot instead of bouncing PDFs through email.

Sharing & access

Share documents with colleagues who have a GigRoot account, or through a public link for anyone else. Public links to invoices, receipts and signed documents carry an unguessable token. Document permissions are enforced consistently across the platform, whether a file is attached to a project, a lead, or shared directly.
