Lead Forms

Public questionnaires you share by link, QR code or embed — every response becomes a lead.

Overview

A lead form is a public questionnaire — a project brief, an enquiry form, a requirements survey — that anyone can fill in without signing in. Every response arrives in your CRM as a new lead, with the whole questionnaire attached.

Build and manage forms in CRM → Forms. A form has four tabs: Questions, Settings, Share and Responses. Changes save as you go.

Building a form

  1. 1
Start from a template or blank
Choose New form and pick a template — Website development, Mobile app, SEO & digital marketing, UI/UX & branding, Custom software / ERP, or General enquiry — or start blank.
  2. 2
    Add questions
Question types: short answer, paragraph, email, phone, number, amount (₹), website link, date, dropdown, single choice, multiple choice, yes / no, rating 1–5, and a consent checkbox. Add a Section / step to split the form: shown Step by step, each section is a page with a progress bar; shown on One page, it is a heading.
  3. 3
    Map answers to the lead
For each question, choose what it Fills on the lead — contact name, email, phone, company, lead title, budget / deal value, requirement summary or country — or keep it with the answers only. Name and email are always required.
  4. 4
    Publish
Use Preview to try it, then Publish. Close form stops new responses, and Reopen starts them again.

The Settings tab sets the lead source (Web form by default), the lead title, the lead owner, who it is assigned to and who else is notified, the accent colour, the thank-you message and an optional page to send people to afterwards, a closing date, a response limit, and whether to email the client a copy of their answers.

Note
Forms do not accept file uploads.

Sharing

The Share tab gives you every way to reach people:

  • Public link — copy it, open it, or send it on WhatsApp or by email. Add ?utm_source= to the link to record where each response came from.
  • Email — if your agency has a shared inbox, the form is emailed from GigRoot's own composer with an Open the questionnaire button, and the message lands in Emails → Sent. Without an inbox, your device's mail app opens instead.
  • Embed on your website — a snippet that shows the form inside your own page.
  • QR code — download it for print, events and slides.

Responses & leads

Each response becomes a lead: the mapped answers fill its fields, and the full questionnaire goes into its requirement and onto its timeline. The lead owner, the assignee and anyone you chose to notify get an in-app notification and an email.

The Responses tab shows responses, views and completion rate, lists every response with Open lead, and exports everything with Export CSV.

Built-in spam protection
Forms refuse throwaway email addresses, catch bots with a hidden field and a minimum time on the page, and limit how often one visitor can submit. If the same email submits the same form again within ten minutes, the existing lead is updated instead of a duplicate being created.
